Privacy policy

How we handle your information.

Last updated: October 2026 · Ballotbox is operated by Vibe Tribe Organisation.

Who we are

Ballotbox is an online voting platform operated by Vibe Tribe Organisation ("we", "us"). This policy explains what information the platform collects, why, and how it is protected. It applies to everyone who uses Ballotbox: organisers who run elections, voters who cast ballots, and visitors who browse the site.

Information organisers give us

When you create an organiser account we store your name, email address and organisation name so you can sign in and manage your elections. When you set up an election we store its details: title, description, positions, candidates, manifestos, voting dates, package and payment references, and any branding you add (cover images, logos, report headers and footers).

Payments are processed by Paystack. We never see or store your card or Mobile Money PIN — we only receive a payment reference and confirmation from Paystack.

Voter information

Organisers upload or approve a voter register for each election. Depending on the election, a voter record may contain a name, a voter ID or identifier, an email address or phone number, and a personal passcode. Passcodes are stored only as one-way hashes — nobody, including us, can read them.

Voter information belongs to the election it was registered for. We do not use voter names, phone numbers or email addresses for marketing, and we do not sell or share them with anyone outside the election.

Ballots and election records

Ballots are secret. Votes are stored without any link to the voter who cast them, and ballot receipts use one-way hashes so a voter can confirm their ballot was counted without revealing their choice. Results are computed from the recorded ballots and cannot be edited by organisers or by us.

Every election keeps an append-only activity log (who did what and when — for example registrations, approvals and status changes). This log cannot be edited or deleted, and it never records how anyone voted. Election records are kept so organisers can export official results and audit reports.

Contact details and support messages

When you contact us by email or WhatsApp, we receive the contact details you send and the content of your message. We use these only to answer you and to help resolve the issue you raised.

How we protect information

Access to each election's management area requires a private link, and organiser accounts require sign-in. Database rules restrict every record to the people allowed to see it. Observer links are read-only and never show vote choices. We do not use your data to train AI models, and no feature on Ballotbox requires AI to run.

Your choices

Organisers can close elections, export their records and ask us to remove their account and elections. Voters who want their registration removed should contact the election's organiser, who controls the voter register; you can also reach us directly and we will pass the request on.
